The Space and Geospatial Intelligence Business Unit currently has an opening for an Administrative Assistant to support our operations in Colorado Springs, CO.
JOB DESCRIPTION: Candidate will provide administrative support to the 300+ employees in the Division. This support is likely to include:
-- Participate in meetings for the Division Manager upon need.
-- Procurement of equipment for the division contracts : enter purchase orders into a system, keep records of the purchases
-- Check requests: requesting checks through company process for items needed for working contracts and overhead expenses not allowed on a corporate charge card
-- Back up for travel requests and expense reports: creating travel authorizations, coordinating travel with company travel agents, submitting expense reports for employees for reimbursement
-- Tuition reimbursement program: manage spreadsheet for tracing amount each participant has requested. Submitting expense reports for reimbursement of tuition
-- Update the division portal distribution lists with the new employees, departing employees
-- Maintaining the Division Organization Chart
-- Use of Corporate Charge Card (P-Card): purchase overhead items (i.e., flowers, lunches, business cards, etc..) and reconcile the p-card on a bi-weekly basis
-- Maintain Employee Engagement records (i.e. birthday and anniversary cards, bonus and gift card recognitions, etc…
-- Provide administrative support to the HR Manager as requested
-- Planning of Division social events.
REQUIRED EDUCATION/SKILLS: High school education or equivalent and 2+ years of business related experience. Performs an increasing range of administrative duties under general supervision. May be responsible for scheduling and making arrangements for meetings, for researching and securing requested information, and for researching, compiling and proofing of various reports and studies. May take and/or transcribe confidential or technical information and meeting minutes, order supplies, distribute mail and documents, answer phones, respond to customer/client/employee inquiries, and other office administrative duties. Works on assignments that are semi-routine in nature utilizing existing policy or procedure. Interacts daily with supervisor, peer groups, and customers, normally involving the exchange or presentation of factual information. Applies acquired job skills and company policies and procedures to complete assigned tasks.
